ICE Barcelona 2027: your stand merchandise checklist

ICE Barcelona 2027 runs from 18 to 20 January at Fira Barcelona Gran Via. With Christmas and New Year sitting right before the show, merch deadlines arrive much earlier than most teams expect. Here is how to plan stand giveaways, team kit and client gifts so they are waiting for you in Barcelona, not stuck in a warehouse.
Work backwards from your build day
Start from the day your stand is built, not the first day of the show. Then allow for delivery, production and the holiday shutdown:
- Production: 7 to 12 days from mockup approval for most items (express can be faster for some products).
- Delivery to Spain: a few working days from Malta. Both are in the EU, so there is no customs to clear.
- Holidays: factories and couriers slow down from mid-December to early January.
Our advice: approve your mockups by early December. That leaves room for a reprint or a late change without panic.
1. Giveaways for stand visitors
The best giveaways are things people use on the show floor and keep afterwards, so your logo goes home with them.
- Power banks and wireless chargers: everyone runs low on battery by the afternoon.
- Bottles: long days, dry halls.
- Tote bags: visitors collect brochures and need something to carry them in.
- Lanyards, pins and small tech: lower cost, ideal for high volumes.
Many exhibitors run two tiers: a low-cost item for everyone who stops by, and a premium item kept behind the counter for qualified leads and booked meetings.
2. Team kit
Matching polos, shirts or hoodies make your team easy to spot in a busy hall and look sharp in photos. Order one or two spare pieces per size, as last-minute team changes are common. Embroidery looks premium and survives three days of wear.
3. Client and VIP gifts
For meetings with key partners, a better-quality gift leaves a stronger impression than a handful of freebies: premium drinkware, tech, leather or travel items, packed in a branded box.
4. Stand essentials
Lanyards and badge holders for your own team, branded table items, and a stock of business-card-friendly notebooks and pens for meetings.
How many should you order?
Base your numbers on your own data: how many meetings you have booked, how many visitors you scanned last year, and how many days you will be giving items away. Split your budget between a volume item and a premium item rather than one middle-ground product. Most items start from just 10 pieces, so small runs of premium gifts are fine too.
Getting it to the stand
Check your exhibitor manual for the venue's delivery address, delivery windows and labelling rules, and send them to us with your order. We can ship to the venue's logistics partner, your hotel or your office, and split one order across several addresses.
